Requirements

i. Logistics

• A minimum of a Diploma in Procurement, Logistics, Supply Chain Management or a related field from a recognized university

• Between 2 to 3 years of experience in a busy Logistics department on an INGO.

Demonstrated knowledge of procurement and logistics procedures including stock and inventory management.

ii. Driving

• A valid Uganda driver’s license (classes B, DL, CM and DM)

• A clean driving record is a must.

• A minimum of 6years of driving experience.

• Training in Defensive Driving is mandatary.

• A Certificate in Mechanical or vehicle maintenance is an added advantage

• Demonstrated knowledge of road rules is essential.

Others

• Good computer skills (Microsoft outlook, Excel, Word)

• Must be able and willing to travel domestically up to 60 % of the time.

Logistics and Procurement (60%)

Procurement:

• Support the Logistics and Procurement officer with all stages of procurement: ensuring RFPs are complete; sending out for quotations and being the focal person for communication with suppliers; preparing the QET; preparing the NCPs, PAs and PO’s.

• Filing (soft and hardcopies) of procurement and logistics documents ensuring that the complete procurement files are uploaded on 4JUH in the appropriate folders.

• Supports with the maintenance of the procurement tracker.

• Maintains the supplier payment tracker alerting the Logistics and Procurement Officer about any due payments, compiling all relevant invoices to be presented to Finance.

• Together with the Logistics and Procurement Officer, ensures that goods, services and worksprocured by the country office are of the right quality, in the right quantities, at the right price, delivered to the right place, at the right time. (5 Rs).

• Inspects and ensures the quality of received goods and that the required documentation is present e.g. good received notes, delivery notes, waybills etc.

Asset and Inventory Management:

• Ensures regular physical inventory checks are done of all assets and equipment, that appropriate storage conditions exist, and security of such items is ensured.

• Ensures accurate documentation of the allocation of assets and ensuring that they are tracked, labelled, operated in the most cost-efficient manner, and maintained appropriately.

Contract Management:

• Together with the Logistics and Procurement Officer, regularly reviews the contract trackers and ensures it is up to date.

• Supports the Logistics and Procurement Officer in alerting him/her to contracts about to expire, which are due for renewal, ensuring to start the process at least 4 months in advance.

Driving and Vehicle Management (40%)

• To drive the designated organisation vehicle in a safe and careful manner and ensure that all passengers are secure.

• The driver may not carry any unauthorised passengers, cargo or carry fire arms.

• Ensures the vehicle is are duly checked e.g. engine oil, battery terminals, lighting system etc. before any movement is initiated.

• Maintains the vehicle logbook and accurately records kilometre readings, fuel purchases, the activity assignments, when parts and/or tyres are repaired replaced and all, service records

• Maintains the vehicle log sheets and fuel vouchers assigned and submits a monthly report to the Logistics and Procurement officer.

• Responsible for all loading and unloading of goods into the vehicle and ensuring their security and condition while in the vehicle.

• Informs the Logistics and Procurement officer well in advance regarding the expiry dates of the insurance and registration. viii. Ensures that the vehicle is serviced promptly by always monitoring the mileage and or reports any necessary repairs that need to be made in between services.

• Reports any incident or driving incident, even minor to the Logistics and Procurement officer as quickly as possible and completes the necessary reports.

• Ensures that both the interior and exterior of the vehicle is kept clean at all times.

• Is responsible for all equipment stored in the vehicle e.g. tools, first aid kits, emergency beacons, MiFi, phone chargers, emergency food and water supplies etc, and must report any loss or damage to any item.

• Ensures that fulfilment of his/her tasks, are carried out with full care in preserving the confidentiality of all matters related to the organisation’s operations.

• Ensure that all vehicle movements are authorised and informed to the Logistics & Procurement Officer

• Fines will be the responsibility of the driver if he/she is personally responsible for an accident and disciplinary action may be taken.

Other:

• Performs any other tasks as may be assigned by the Logistics & Procurement Officer, relevant to the position.
